New Features and Enhancements

On March 24, 2025, we introduced several changes designed to enhance the user experience in the WREN Job Portal. These updates reflect our commitment to continuously improving our platform based on user feedback and industry trends. Below is a detailed overview of the new features and improvements that are now available.

Job Seeker Portal

Enhanced Company Profiles

We’ve redesigned Company Profiles to provide a more detailed and user-friendly experience. The updated layout includes improved organization, clearer company details, and better visibility of key information such as industry, contact details, and job postings.

Save Jobs from the Job Map

Jobseekers can now save job postings directly from the Job Map tool. Previously, saved jobs were only available in the Job Board, but with this update, logged-in users can easily bookmark jobs of interest while browsing job postings on the map.

Other Minor Updates
  • Cover Letter Generator: New Work Gap Explanation Option
    Jobseekers now have the option to include incarceration as a reason for a work gap. This update provides greater flexibility and supports more diverse employment histories in the cover letter generation process.
  • Job Board Accessibility Improvements: Job Board navigation and readability have been improved, making it easier to use with keyboards and screen readers. Updates include clearer labels, better focus order, and improved search functionality for a smoother experience.

Service Provider Portal

Case notE locking

To maintain data integrity, Case Notes will be locked after 48 hours, preventing edits or backdated entries beyond this limit. If there are issues with the information locked in a case note, please have your organization’s lead contact their Quality Assurance Coordinator.

Client Intake & Referral Tracking Enhancements
  • Updated Referral Fields: The Reasons for Referral field is now labeled Referral Notes, and new fields have been added, including Referral SourceReference Number, and Marketing Source checkboxes. Marketing Source is configurable for SSMs and only appears when Direct Contact with SSM or Self-Referred (Walk-in) is selected as the Referral Source.
  • Expanded Case Note Automation: Case notes now autogenerate for all new intakes. Case notes are also automatically created when a Refer to Service Provider action is triggered.
  • Workflow & UI Updates: The Client Profile Overview and Refer to Service Provider screens have been updated to align with these enhancements, ensuring consistency across intake and referral processes.
Common Assessment Linking:

A new Common Assessment (CA) linking option streamlines the intake process for clients who have a submitted CA but have not yet been registered in CaMS. This feature pre-fills intake forms using key details from Part 1 of the client’s CA, including name, contact information, language preference, education, and employment goals. If both CA and CaMS links are established in the Job Portal, CaMS data will take precedence to ensure accuracy.

NEW! General Notes Section in Client Profile

Service providers now have the option to add general notes directly to a client’s profile. This feature makes it easier to store and reference important client-level details at a glance. Please note that this free-form section does not replace the need for case notes, so continue using case notes as usual. The use of the General Notes field is optional.

REPORT ENHANCEMENTs:
INTRODUCING A NEW Client Service MAP REPORT

The new Client Service Map, powered by CaMS data, is now available to service provider staff with report permissions. This interactive map visualizes client locations using six-digit postal codes while ensuring privacy. SSM staff can view all clients and service sites, while service provider staff with report permissions can view their own clients and associated service sites.

Key features include:

  • Drive-Time Analysis: Clicking on a service provider site reveals a 20-minute drive-time radius, showing the number and percentage of clients within that area.
  • View Options: Marker view shows individual client locations, while Heat Map view visualizes client density.
  • Advanced Filtering Options: Filter by Client Stream, Postal Code, Service Provider (available only to users with Service Provider Group permissions), and Demographics.

Standardized Report Layouts & Controls

All Job Portal and CaMS-powered reports now follow a standardized layout for a more consistent experience, including:

  • Redesigned Reports Homepage: Reports are now organized to prioritize key insights, with clearer report names, improved descriptions, and a more structured layout. New icons help users quickly identify reports, making navigation more intuitive.
  • Share Button: Easily send reports to others.
  • Consistent Filtering Options: Includes predefined date ranges for streamlined navigation.
  • Role-Based Access: Service Provider Staff see only their data, while SSM Staff can view data across the full network.
Client Intake Report: Adjustment to Portal Column
  • The Portal sub-column in the Client Intake report has been updated to provide more meaningful insights. Instead of mirroring the CaMS target, the Portal target now reflects the CaMS Actual figure. This ensures that the percentage displayed represents the proportion of clients entered into the portal compared to the total intake, offering a clearer measure of engagement.
NEW TASK FEATURES

Recurring Tasks: Caseworkers can now set recurring tasks, reducing the need to create individual reminders manually. Tasks can be scheduled to repeat at various intervals (e.g., every two weeks) or specific milestones (e.g., 1st, 3rd, 6th, and 12th month post-employment milestones).

Client-SharedTasks: A new “Assign to Client” option is now available. This allows caseworkers to assign tasks directly to clients for better engagement.

Client Dashboard Task Widget: A new Task Widget on the client dashboard allows jobseekers to easily view, track, and complete assigned tasks, helping them stay organized and on top of their next steps.

OTHER MINOR UPDATES:
  • Clearer CaMS Data Sync Timestamps: The Client Profile now displays separate timestamps for the last overnight CaMS data sync and the last detected client record change, improving clarity on when data was last updated.
  • Client Intake Form: The Target Occupation field now uses 2021 NOC codes.
  • Improved Birth Date Selection: The birth date picker in the client intake form now adjusts dynamically based on the selected date, reducing unnecessary scrolling for older birth years.
  • Expanded File Upload Support: The Client Profile now supports PNG file uploads, providing more flexibility for sharing images.
  • Client Info Ribbon Responsiveness: The Client Info Ribbon now adapts more effectively to different screen sizes, ensuring a cleaner layout on smaller displays.
