Job Portal Release 4.3 Highlights

New Features and Enhancements

On July 3, 2024, we introduce several changes designed to enhance the service provider experience in the WREN Job Portal. These updates reflect our commitment to continuously improving our platform based on user feedback and industry trends. Below, you’ll find a detailed overview of the new features and improvements that will be rolling out.

NEW CASE NOTE ACTIVITY TYPES

The following Activity Types have been added to Case Notes:

  • Education
  • Employment Related Financial Support
  • Job Placement
  • Referrals
  • Training
  • Transfer
Client ‘IdentifY AS’ Updates

The “Identify As” options in the jobseeker self-registration form and invite client form have been updated as follows:

  • Self-Identification Editing: Both clients and service providers can update the ‘Identify As’ checkboxes, with changes visible to both parties. However, if the client is linked with CaMS, the service provider will only see the information from CaMS. Jobseekers can modify their self-identification options without impacting the data seen by the service provider or CaMS.
  • Updated Terminology Alignment: To align with CaMS, the ‘Identify As’ checkboxes on the jobseeker self-registration form and My Profile pages have been revised. For instance, the ‘Indigenous’ option has been replaced with: ‘Métis,’ ‘Inuit,’ and ‘First Nations’ to align with CaMS terminology.
Updated dashboard and reports section

We are pleased to announce an update for Job Portal users with Report permissions, designed to streamline access to essential data and improve usability.

  • Dashboard Update: Users with Report permissions will now see the same Dashboard as other staff. The new dashboard will adapt based on client permission settings, displaying either only your assigned clients or all clients in your organization.
  • Reports Relocation: The Staff, Portal, Resume, and Top Viewed/Following Reports, previously found in the Manager Dashboard, are now relocated to the new Reports section of the Job Portal.
  • Centralized Reports: These reports are now co-located with the Intake Report and Outcome Report, ensuring all relevant data and insights are centralized for ease of access. Only users with Report permissions will be able to access these reports.
System Notification Bar

A new System Notification Bar has been added to the Windsor Regional Employment Network Job Portal. This non-dismissible notification bar will provide timely updates from the WREN team on system performance, maintenance schedules, and any issues affecting the Job Portal. We will also post information about known CaMS issues impacting Job Portal performance. Located under the grey toolbar, this bar ensures Service Provider users stay informed with timely information. It is not visible to jobseekers.

editing client overview details

We are excited to announce new editing capabilities for service providers on the Client Overview screen. Previously, this information was entered in the client invite form and could not be altered afterward. With this update, service providers can now edit various client-related details, excluding CaMS-sourced data.

Editable Sections Include:

  • Referral details
  • Preferred name
  • Preferred pronouns
  • Service needs
  • Past occupations
  • Current occupations
  • Target occupations
  • Email addresses
  • Job newsletter opt-in and frequency settings

Email Notifications:

  • If a client changes their email address, the caseworker will receive an email notification to notify them. Service Providers should update the client’s email in CaMS after receiving notification.
  • If a service provider changes the client’s email address, the client will receive an email asking them to confirm the change.
Other Minor Updates
  • Invite Client Form: Brackets are now accepted in the phone number field.
  • Reports: CaMS data accuracy disclaimer added to Client Intake & Outcome Reports.
  • Terminology: Changed Gender to Sex throughout the portal.
  • Preferred Name: The Preferred Name field now includes the placeholder text “If different than legal name.” For service provider staff, the preferred name will be displayed in the format: First Name (Preferred Name) Last Name. Jobseekers will see only their Preferred Name and Last Name.
